Staff Scheduler – New Look & Features

The new Staff Scheduler in SprintSuite has been redesigned with a fresh interface and smarter tools to make workforce planning faster and easier. You can now mobilise staff, adjust shifts, create tasks, finalise mobilisations, and set qualifications for job locations — all directly in SprintSuite.


What You Can Do

Smarter Scheduling

  • Group staff by role for clearer planning.

  • Drag & drop mobilisations to quickly move staff.

  • Copy & paste mobilisations to save time.

  • Create mobilisations directly to jobs or locations.

  • Finalise mobilisations directly in the scheduler without opening the job.

  • See details at a glance – job name, job number, shift type, and shift length display in each cell.

  • Create planning tasks while quoting and assign them to colleagues.

  • Create tasks directly from the scheduler for faster planning and mobilisation.

  • Set Location Qualifications – In Settings > Location Qualifications, set which qualifications are required for each job site. This ensures compliance and will soon alert you if staff are mobilised to a site without the required qualifications.

  • See when staff are on R&R – if you’ve updated their swing in their staff profile, it will display in the scheduler.

  • Switch between views – choose your default view, which blocks out the full day regardless of booked hours, or switch to a compact view that shows the exact times staff are mobilised (perfect for short shifts).

  • Leave displays in colour based on your settings, so you can easily spot staff availability.


Flexible Adjustments

  • Hover for quick info without opening a mobilisation.

  • Zoom options – switch between Day, Week, or Month views.

  • Split mobilisations when shifts need to be changed.

  • Undo edits or step back through your change history.

  • Delete mobilisations you no longer need.


Task Management

  • Track staffing requirements – When quoting, you can quickly create a planning task and assign it to a colleague to keep things moving. You can also create tasks directly from the scheduler for faster planning and mobilisation.

  • Create planning tasks to help arrange mobilisations:

    1. Click Create Planning Task.

    2. Select the job.

    3. Choose the staff to assign the task to.

    4. Enter a task title.

    5. Add any mobilisation notes.

    6. Click Create Planning Task to save.

  • Tasks can be created for yourself or assigned to other staff.

  • Once created, tasks display alongside mobilisations on the schedule, giving you a complete view of what’s planned and what’s left to arrange.


Location Qualifications

  • In Settings > Location Qualifications, you can set which qualifications are required for specific job locations.

  • This helps ensure staff are only mobilised to sites where they meet the necessary requirements.

  • ⚠️ Heads up: At this stage, you’re setting up the qualifications. In an upcoming update, the scheduler will also alert you if staff don’t meet the required qualifications when you mobilise them.


Improved Usability

  • Modern interface with a clean, easy-to-navigate design.

  • Sticky groups in the left panel so staff lists can be collapsed or expanded easily.

  • Create mobilisations by trade with number inputs.

  • The Task Scheduler now uses the same improved layout, similar to a Gantt chart.

  • Option to view schedules by day as well as ranges.


What’s Coming Next

We’re continuing to enhance the scheduler with upcoming features like:

Planned improvements include:

  • Mobilisation qualification alerts – when you mobilise staff, the scheduler will notify you if they don’t have the required qualifications for the job location.

  • Hide past shifts for a cleaner view.

  • Distinct colours for trades (e.g. electricians in blue, plumbers in green).

  • Weekends automatically greyed out.

  • Staff mobile app: personal schedules in calendar format.

  • Travel time blocks shown with an “eye” icon.

  • Sort staff alphabetically.

  • Filter by client, project, or qualification needed for locations.

  • Booking accommodation, flight details, and vehicles alongside mobilisations.

  • Built-in to-do lists linked to scheduling.

  • ChatGPT-powered assistant to:

    • Draft messages to staff when filling shifts.

    • Recommend the best replacement staff when someone is sick.

  • Select multiple mobilisations for bulk actions.

  • Edit leave and R&R (rest and recreation) directly in the scheduler.

  • Add rostered maintenance periods that auto-populate schedules.

  • Admin view of labour requests with push notifications and staff responses.

  • R&R displayed as separate blocks (solid yellow, no border).

The new Staff Scheduler delivers a modern look, powerful scheduling tools, built-in task creation, and the ability to finalise mobilisations directly in the scheduler. Mobilisations automatically block out the full day, and leave shows in the colour you’ve set in settings — giving you clearer visibility across your workforce.
