Why Your Xero Connection Might Disconnect in SprintSuite

Updated over a week ago

When using SprintSuite’s integration with Xero, it’s possible for your connection to disconnect from time to time. This article explains common reasons for disconnections and what you can do to quickly get connected again.

🔑 Common Reasons for Disconnection

1. Expired OAuth Token

Xero connections use secure tokens to stay linked. If there’s no activity for 60 days, Xero automatically expires the token. When this happens, you’ll need to reconnect to reauthorise SprintSuite.

2. Access Revoked in Xero

If someone manually revokes SprintSuite’s access in Xero > Settings > Connected Apps, the connection will immediately be removed.

3. Password or Account Changes

If the user who originally connected SprintSuite to Xero:

  • Resets their password

  • Is removed from the Xero organisation

  • Loses permission to access that organisation

…the connection will no longer work until another authorised user reconnects.

4. Multiple Organisation Changes

If you manage multiple Xero organisations and remove one that SprintSuite was connected to, the integration will need to be re-authorised for the correct organisation.

5. Xero API Downtime or Rate Limits

Occasionally, Xero’s API may be unavailable due to maintenance or rate limits. If SprintSuite cannot refresh the connection for too long, it may require you to reconnect.

6. Security or Permission Updates

When Xero updates its API permissions (scopes) or security requirements, SprintSuite may prompt you to reconnect to re-grant permissions.

🛠 How to Reconnect

  1. Go to Settings > Xero Integration in SprintSuite.

  2. Click Reconnect to Xero.

  3. Log into Xero and select the organisation you want SprintSuite to connect to.

  4. Confirm authorisation.

  5. Return to SprintSuite — your connection should now be restored.

✅ Best Practices to Avoid Future Disconnections

  • Check regularly: Review your Xero connection status in SprintSuite every few weeks.

  • Sync often: Submit timesheets, invoices, or bills regularly to keep the token active.

  • Limit revocations: Only allow authorised users to manage connected apps in Xero.

  • Reconnect quickly: If you see a warning, reconnect straight away to avoid missed syncs.
