Overview

The Rate Cards feature allows you to centrally manage pricing used across your jobs. Rate cards contain collections of cost and charge-out rates that can be selected during quote creation, helping you standardise pricing while still allowing flexibility per client or per quote.


What Are Rate Cards?

Rate cards are groups of rates for items and services that can be applied to field service jobs or project quotes.

They help you:

  • Keep pricing consistent

  • Reduce manual setup when quoting

  • Control default pricing across the platform

  • Override pricing when needed

Each rate typically includes:

  • Name / Description

  • Cost Rate (internal cost)

  • Charge-Out Rate (price to client)

  • Category / Type (if applicable)


Default Rate Card (Applies to All Clients)

The Default Rate Card is a system-wide setting that is automatically pre-selected on all new quotes.

This can be:

  • Overridden per client in Client Settings

  • Changed on individual quotes

  • Used as a starting point only

Set the Default Rate Card

  1. Go to Settings β†’ Rate Cards

  2. Click on Add Rate Card

  3. Locate DEFAULT RATE CARD (APPLIES TO ALL CLIENTS)

  4. Select a rate card from the dropdown

  5. Click Save Default For All Clients

Default Behaviour

  • New quotes automatically use the default rate card

  • Client-specific rate cards override the default

  • Users can still change the rate card on a quote

  • Existing client-specific rates remain available as Client Rates


Accessing Rate Cards

  1. Navigate to Settings

  2. Select Rate Cards

You will see a list of all rate cards and management actions.


Create a Rate Card

  1. Go to Settings β†’ Rate Cards

  2. Click + Add Rate Card

  3. Enter a name

  4. Click Save


Edit a Rate Card

  1. Find the rate card

  2. Click the pencil (edit) icon

  3. Update details

  4. Click Save


Delete / Restore a Rate Card

Delete

  1. Click the three dots

  2. Confirm deletion

Rate cards are soft-deleted.

View / Restore Deleted

  1. Enable Show Deleted

  2. Deleted rate cards appear

  3. Restore if required


Add Rates to a Rate Card

  1. Find the rate card

  2. Click + Add Rates

  3. Enter rate details

  4. Click Save

  5. Repeat as needed


Import Rates (CSV)

Import multiple rates at once using CSV.

  1. Go to Settings β†’ Rate Cards

  2. Click Import Rates

  3. Upload CSV

  4. Map columns (if prompted)

  5. Review preview

  6. Confirm import

Common CSV Columns

  • Rate Card Name

  • Item / Service Name

  • Cost Rate

  • Charge-Out Rate

Always check the import screen for required fields.


Search Rate Cards

Use the search field at the top of the page to quickly filter rate cards by name.


Bulk Actions

Select multiple rate cards and use Actions to:

  • Bulk delete

  • Bulk edit

  • Export to CSV


Rate Card Priority Order

If multiple rate cards exist:

  1. Quote-level rate card

  2. Client-specific rate card

  3. Default rate card


Best Practices

  • Use clear naming (e.g. Standard Labour, Workshop Rates)

  • Create different rate cards for different service types or client groups

  • Review rates regularly

  • Use CSV import for large updates


Troubleshooting

Default rate card not appearing on quote

  • Confirm default is saved

  • Check client has no override

  • Ensure quote is a project quote

Rate card missing from dropdown

  • Ensure it isn’t deleted

  • Check permissions

Import errors

  • Check required columns

  • Ensure numeric fields contain numbers

  • Review error messages


Permissions

Access to Rate Cards is controlled by user roles. Contact your administrator if you cannot view or manage rate cards.
