What is the Department Invoice Report?

The Department Invoice Report provides a financial summary of all jobs grouped by department. It helps users monitor invoicing activity, validate amounts, and ensure invoicing processes are on track across various teams or units.


Key Fields in the Report

  • Department(s) – Lists all departments associated with each job.

  • Status – The status of the invoice (e.g., approved, draft, claim).

  • Invoice ID – The reference ID of the invoice, if one has been generated.

  • Job ID – Unique identifier for the job related to the invoice.

  • Client – Name of the client the job is billed to.

  • Purchase Order Number – Any associated PO numbers for the invoice.

  • Invoice Date – Date the invoice was created or issued.

  • Amount – The total amount invoiced.


How to Use This Report

  1. Navigate to Reporting

    • Go to the Reports section of your portal.

    • Select Department Invoice Report.

  2. Review and Filter

    • Use filters by department or status to narrow down results.

    • Review outstanding or draft invoices and ensure all required PO numbers and invoice IDs are in place.

  3. Export if Needed

    • Export the report as a CSV for reconciliation, approvals, or sharing with finance teams.
