πŸ“‚ Customising the Purchase Orders View

The Purchase Orders page includes a summary dashboard and improved grid view, making it easier to monitor and manage procurement activity at a glance.


πŸ” Dashboard Summary & Top Suppliers

When you navigate to Purchases β†’ Purchase Orders, you may see a series of summary cards and a Top Suppliers table (depending on your role permissions).

  • Summary Cards β€” Quickly view key totals for the selected date range:

    • Total PO Value – The total value of purchase orders.

    • Total Billed – The value of approved supplier invoices linked to those POs.

    • Outstanding Balance – The remaining value yet to be billed.

  • Top 3 Suppliers β€” Displays your highest-spend suppliers based on the active filters, including their total spend and percentage of overall PO value.

  • Date Range Selector β€” Use the Date Range filter to update the dashboard data. Presets include options such as Last Financial Year, Quarter to Date, or a Custom range.

The dashboard summary and supplier analysis are controlled by a specific permission to ensure financial information is only visible to authorised users.

To update permissions:

  1. Go to Settings (gear icon).

  2. Select Roles and Permissions.

  3. Choose the relevant role.

  4. Under Purchases, enable the PO Dashboard Summary permission.


πŸ“Š Exporting Reports

You can export purchase order data in two ways.

1. From the Purchase Orders Page

Use the Export button in the top right corner to download the data currently displayed in your grid.

Available export options include:

  • Export XLS β€” Downloads the filtered purchase order list in Excel format.

  • PO Items Report β€” A CSV export showing individual line items across purchase orders.

  • PO Invoice Report β€” A CSV export detailing invoice history and billing status.

2. From the Reporting Module

For more detailed reporting across the system:

  1. Click Reporting in the main sidebar.

  2. Select Reporting from the submenu.

  3. Access reports across categories such as Financials and Job Invoices for deeper operational insights.
