π Approval Checklist: Notifications, Task Assignment & Tracking
Overview
The Approval Checklist has been enhanced to improve workflow efficiency, visibility, and accountability across your jobs.
You can assign tasks, trigger email notifications, and track completion details such as who completed a task and when.
How to Set Up Approval Checklist Notifications & Assignees
Navigate to Settings β Approval Checklist
Select or create an Approval Checklist
For each checklist item:
Set a default assignee
Configure email notifications for completion
Save your changes
β These settings will apply when the checklist is used on a job
How It Works on a Job
When a job is created (or a checklist is applied), tasks are automatically created for the assigned users if you set one up.
Assigned users can:
Navigate to their tasks
Open the Approval Checklist item
Complete the task
Once completed:
The checklist item is marked as complete
The system records:
User
Date
Timestamp
An email notification is sent to the configured recipient(s)
Reassigning Tasks
Navigate to the Job β Approval Checklist tab
Locate the checklist item
Update the assigned user (if required)
β This allows flexibility if responsibilities change during the job
Notes
Email notifications include:
Job details
Checklist item name
User who completed the task
Completion details are stored and displayed for full visibility and audit tracking
Default assignees can be overridden at the job level
