Sending an Email for Approval to a Client

Overview

The Approval Request feature allows you to send timesheets directly to your client for review and approval.
You can filter the timesheets being sent, group entries for easier review, attach files or photos, and send the request to multiple client contacts at once.


How to Send an Approval Request

Step 1 – Navigate to the Job>Timesheets Tab

  1. Open the relevant Job

  2. Go to the Timesheets tab within the job

  3. Select the timesheets you would like to send

  4. Click Email for Approval


Understanding the Email for Approval Window

Once opened, the Email for Approval window allows you to review and configure the approval request before sending.


Filter Timesheets

At the top of the window, you can filter the timesheets by:

  • Location

  • Cost Code / Client Reference

Click Filter to update the results shown.

You can also use Reset Filters to clear your selections.


Group Timesheet Entries

Use the Group By options to organise the data before sending.

Available grouping options include:

  • None

  • Staff

  • Date

  • Trade

  • Shift Type

This makes it easier for clients to review large amounts of timesheet data.


Review Selected Timesheets

The grid displays the timesheets included in the approval request, including:

  • Staff name

  • Shift type

  • Trade

  • Cost code

  • Start and end times

  • Hours worked

You can tick or untick entries to control what is included in the request.


Include Previously Sent or Approved Timesheets

Optional checkboxes allow you to:

  • Include timesheets already client approved

  • Include timesheets already sent to the client

This is useful when resending or consolidating approvals.


Add Client Contacts

Under Client Contacts, select one or multiple recipients to send the approval request to.

You can send approval requests to multiple contacts at once, ensuring all required client stakeholders receive the request.


Attach Files or Photos

You can also include supporting documentation by:

  • Attaching files

  • Attaching photos directly from the job

This is useful for providing backup information alongside the approval request.


Send the Approval Request

Once everything has been reviewed:

  1. Click Send for Approval

  2. The selected recipients will receive an email with a link to review and approve the timesheets


Tracking Approval Requests

After sending, SprintSuite tracks the approval status of each request.

Statuses include:

  • Sent / Awaiting

  • Approved

  • Rejected

An audit trail is also available showing:

  • Sent date

  • Approved date

  • Approver name

  • Approval comments


Exporting Approved Data

Admin users can:

  • Filter approved items by Location or Cost Code

  • Export approved data for invoicing purposes

Dedicated views are available for:

  • Sent but not approved

  • Approved – ready to invoice

  • Rejected – needs action
