Sync a job to Greentree (create / update)

Create or update a Greentree JC Job when a job is saved, what's sent, and how to fix blocked syncs.

When you need this

You want SprintSuite to create a Greentree JC Job for a new job or project, and keep it updated as the job changes. Linking an existing Greentree Job Code is a separate path, covered in Link an existing Greentree Job Code to a job/project.

Before you start

Complete these for each billable company:

  • Greentree is connected and the Company code is set on Credentials.

  • SprintSuite support has switched on Greentree job sync for your company, and Enable Job Sync is on under Greentree → General.

  • A Default job manager is set. Every JC Job uses this person as Job Manager and Account Manager. The job's responsible staff member is never sent.

  • The job's client is linked to a Greentree customer (Settings → Clients).

  • The job's primary department is mapped to an active Greentree profit centre.

  • If your Greentree requires custom job fields, you've run Sync from Greentree under General → Greentree mandatory fields.

  • Your role has Integrations tab: Read & Write plus job edit rights.

Steps

1. Fill in the job

  1. Enter the job number, a title or description, the client and the primary department.

  2. If you have more than one billable company, pick the billable company. That decides which Greentree connection is used.

  3. Complete every field in the Greentree mandatory fields section. Blank required fields block both saving and syncing.

2. Save to create the JC Job

  1. Save a new job. Sync starts automatically in the background.

  2. For an existing job that isn't linked yet, click Create in Greentree in the Greentree Sync section.

  3. The status pill shows Pending, then Synced with the Greentree Job ID.

3. Keep editing

Once synced, changes to the job number, title, description, status, active flag, client, start date, primary department or mandatory fields update the JC Job automatically.

Good to know

  • Copying a job doesn't copy the Greentree link. Sync or link the copy separately.

  • Changing the billable company on a job that's already synced doesn't move it to the other company's Greentree.

  • A failed create isn't retried automatically, to avoid duplicate JC Jobs. Fix the cause, then click Re-Send to Greentree.

What success looks like

  • The job shows Synced with a Greentree Job ID.

  • Greentree has a JC Job whose Code matches the SprintSuite job number.

  • Later edits appear on that JC Job.

If it fails

The Greentree Sync section lists what's blocking the sync, with links to fix each item. Common causes:

Link the client under Settings → Clients, or use Complete Greentree mappings on the job

Map the primary department to an active Greentree Profit Centre

Map it on the Profit Centres tab. Reactivate the department or add it to the billable company if needed.

Create a default Greentree job manager profile before syncing

Save blocked on Greentree fields

Fill the mandatory fields. If a dropdown is missing, re-run mandatory field sync on General.

Greentree job create is already in progress

Wait for the current attempt to finish

No Greentree section on the job

Check job sync is switched on and Enable Job Sync is on, and that the job's billable company is connected

Connection error during sync

Reconnect on Credentials, then Re-Send to Greentree
