Managing Project Quote Templates

Overview

As an admin user, you can now save templates directly within your project quotes. These templates make it easy to reuse deliverables, tasks, and BOM (Bill of Materials) lists across projects β€” saving time and ensuring consistency.

All saved templates are stored in Quote Settings, where you can edit, rename, or delete them as needed.

πŸ’‘ Templates can also include client-specific rates, so your pricing automatically applies when the template is used in a new quote.


How to Save a Project Quote Template

  1. Open a Project Quote.

  2. Build out your quote with deliverables, tasks, and rates as usual.

  3. Click the Save icon to create your template.

    • Saving from the deliverable level captures the deliverable and everything below it.

    • Saving from the task level captures just that task and its linked resources.

  4. Once you click Save, the template will automatically use the name of the deliverable or task you saved it from. You can also choose to give it a new name before confirming.

Your new template will appear under Quote Settings under Item Templates.


How to Edit, Rename, or Delete a Template

  1. Go to Settings β†’ Quote Settings β†’ Templates.

  2. Locate the template you want to update, whether it’s a Project Quote Template or an Item Template.

  3. Choose one of the following:

    • Edit – Update deliverables, tasks, or assigned client rates.

    • Rename – Change the template name for easier reference.

    • Deactivate – Templates can be deactivated when not in use. To restore one, click Show Deactivated, then use the three dots (β‹―) to Reactivate.


Using Client Rates in Templates

When editing a template in Quote Settings, you can select any client rate to save with that template.

  • When the template is applied to a new quote, those rates will auto-populate for that client.

  • You can still adjust the rates manually within the quote if needed.


Permissions & Access

Access to Quote Settings is governed by your role and permissions.

  • Super Admins have full access by default.

  • Admin users may need specific permissions to manage templates.

  • Other user roles may have restricted or view-only access.

If you don’t see Quote Settings, contact your Super Admin to review your permissions.


Tips

  • Use templates for recurring deliverables or standard project types.

  • Keep templates up to date to ensure tasks and pricing remain accurate.

  • Combine templates with client rates to streamline quoting and reduce errors.
