Workshop Kiosk Settings

The Workshop Kiosk Settings page allows administrators to configure how the Shift-Based Workshop Kiosk behaves. These settings help standardise workshop attendance, improve payroll accuracy, and automate overtime handling.

Important: The Shift-Based Workshop Kiosk cannot be used in conjunction with the Seamless Job Transition feature. You must choose one workflow or the other.


Accessing Workshop Kiosk Settings

  1. Navigate to Settings.

  2. Select Workshop Kiosk Settings.

  3. Configure the settings required for your workshop.

  4. Click Save after making any changes.


Shift Templates

Shift Templates define the standard paid shifts available for workshop staff.

When creating a Shift Template, you can optionally assign a default Job. This determines where staff hours will be allocated when they clock in.

Default Job Options

  • Select a Job – Staff who choose this shift will automatically have their hours allocated to the selected job.

  • Leave Blank – No default job is assigned. Staff will be prompted to select the appropriate job when using the kiosk.

This flexibility allows you to create:

  • Shift templates dedicated to a specific workshop job.

  • Generic shift templates that can be used across multiple jobs.

Shift Templates define the standard paid shifts available for workshop staff.

When staff clock in at the kiosk, they select the appropriate shift template. Their paid hours are then based on the selected shift rather than their physical clock-in and clock-out times.

💡 Tip: Before configuring an Overtime Shift Type, make sure the required shift type (e.g. Overtime) has been created in Settings → Shift Types. Once created, it can be selected in the Workshop Kiosk Settings and used to automatically generate overtime timesheets.


Overtime Shift Type

Select the Shift Type that should be used when overtime is worked.

If a staff member works beyond their scheduled shift:

  • The standard shift is recorded as one timesheet.

  • Any additional time is automatically split into a separate overtime timesheet using the selected Shift Type.

This makes overtime easier to review and approve.


Clock Rounding

Clock rounding automatically adjusts physical clock-in and clock-out times.

Clock In (Round Up)

Clock-in times are rounded up to the nearest configured interval.

Example:

  • Actual clock in: 5:57am

  • 5 minute rounding

  • Recorded time: 6:00am

Clock Out (Round Down)

Clock-out times are rounded down to the nearest configured interval.

Example:

  • Actual clock out: 2:33pm

  • 5 minute rounding

  • Recorded time: 2:30pm

Clock rounding helps create consistent attendance records and reduces minor payroll variances.


Lateness Detection

Enable Lateness Detection to automatically flag staff who arrive after their scheduled shift start time.

You can configure the number of grace minutes allowed before a staff member is considered late.

Example

Shift starts:
6:00am

Grace period:
10 minutes

Results:

  • Clock in at 6:08am → On time

  • Clock in at 6:12am → Flagged as Late

Lateness notifications help supervisors identify attendance issues quickly.


How Shift-Based Kiosk Works

  1. Staff member arrives at the workshop.

  2. They select their assigned Shift Template.

  3. They clock in.

  4. Throughout the day they can allocate time across one or more workshop jobs.

  5. If additional hours are worked beyond the scheduled shift:

    • The overtime portion is automatically separated into a dedicated overtime timesheet.

  6. Supervisors review and approve any overtime before payroll processing.


Frequently Asked Questions

Can I use Shift-Based Kiosk with Seamless Job Transition?

No. These are two separate workshop workflows and cannot be enabled together.


Do physical clock-in and clock-out times determine payroll?

No. Payroll is based on the selected Shift Template. Physical clock times are used for attendance visibility only.


Can I have multiple Shift Templates?

Yes. You can create as many Shift Templates as your workshop requires.


Can overtime be approved separately?

Yes. Overtime is automatically split into its own timesheet, making it easy for supervisors to review and approve.


Does clock rounding affect attendance records?

Clock rounding applies according to the configured settings. Attendance visibility is still maintained while ensuring payroll follows your configured workshop rules.
