πŸ“„ Asset Compliance & Asset Matrix – User Guide

Updated this week

πŸ” Overview

You can track asset compliance directly within SprintSuite and report on it using the Asset Matrixβ€”giving you full visibility over expiries like registrations, inspections, and certifications.

This works similarly to the Training Matrix for staff qualifications, but is designed specifically for your assets.

βš™οΈ Step 1: Set Up Asset Compliance Fields

Before tracking compliance, you’ll need to configure your compliance items.

πŸ“ Navigate to: Settings β†’ Asset Compliance

What to do:

  1. Create Compliance Categories (e.g. Registration, Inspection, Certification)

  2. Add Compliance Items under each category

  3. Define what you want to track (e.g. expiry dates, reference numbers)

πŸ’‘ This setup works the same way as Staff Qualifications

🚜 Step 2: Add Compliance to Assets

Once set up, you can assign compliance records to each asset.

πŸ“ Navigate to: Assets β†’ Select an Asset

What’s new:

  • A new Compliance tab is available on each asset

How to use:

  1. Open an asset

  2. Go to the Compliance tab

  3. Add compliance details such as:

    • Expiry date

    • Notes or reference details

  4. Save your entries

βœ… This allows you to track all compliance requirements per asset in one place

πŸ“Š Step 3: View the Asset Matrix

πŸ“ Navigate to: Reporting β†’ Asset Matrix

What you’ll see:

  • A full overview of all assets and their compliance items

  • Clear visibility of:

    • Expired items

    • Upcoming expiries

    • Valid compliance

πŸ’‘ This report works just like the Training Matrix, but for assets

πŸ“€ Exporting Reports

Training Matrix Export Enhancements

You can now export the Training Matrix with improved visibility in Excel.

What’s included:

  • Expiry dates are colour-coded in Excel:

    • πŸ”΄ Expired

    • 🟑 Expiring soon

    • 🟒 Valid

βœ… Makes it easier to identify compliance risks at a glance
